Background:
UNFPA Egypt has established 9 Women and Girls Safe Space (WGSS) to support women and girls of all nationalities. At present, 7 of these are operated by the Ministry of Youth and Sport (MoYS). UNFPA with implementing partners operates 7 WGSS across 6 governorates in Egypt strategically established in areas identified with dense refugee populations leveraging nationwide networks of MoYS Youth Centres. MoYS-operated WGSS are located in the following locations:
- Alexandria (1)
- Aswan (2)
- Cairo (1)
- Giza (2)
- Sharkiya (1)
The Women and Girls Safe Spaces (WGSS) model in Egypt provides essential services to refugee and host community women and girls, including gender-based violence (GBV) prevention and response, mental health and psychosocial support (MHPSS), livelihoods and vocational training, and menstrual hygiene management. WGSS operates as key hubs for protection, empowerment, and inclusion.
Duties and Responsibilities
- Handle incoming and outgoing communications, including emails, phone calls, and mail, ensuring sensitive information is managed with discretion and confidentiality.
- Draft and format official correspondence, meeting minutes, and reports that may include sensitive information , requiring careful attention to confidentiality and professionalism.
- Maintain an organized filing system for important documents and records, including case files and reports related to GBV prevention and response services and activities , ensuring that all information is accessible to authorized personnel while maintaining confidentiality.
- Accurately enter and update data into the organization’s databases and systems, including details about services provided and outcomes, ensuring data integrity and reliability.
- Ensure data quality by cross-checking entries and correcting errors, critical for accurately reflecting the program’s reach and outcome
- Assist in generating reports and statistics from the collected data, which are essential for monitoring and evaluating the effectiveness of GBV interventions and identifying areas for improvement.
- Support the analysis of data to identify trends, needs, and areas for improvement, providing valuable insights into the prevalence and impact of GBV and helping to shape future programming.
- Collaborate with the monitoring and evaluation team to ensure data alignment with program goals, particularly in relation to GBV prevention and response strategies.
Qualifications and Experience
- At least 2 years of experience in administrative and data entry roles, preferably in a humanitarian or non-profit organization, where familiarity with sensitive and confidential information, such as GBV case data, is critical.
- Experience working with data management systems and databases, essential for accurately managing and securing data related to GBV interventions.
- Proficiency in MS Office Suite, particularly Excel and Word, enabling efficient data management and reporting, crucial for analyzing trends and outcomes in GBV programs.
- Excellent attention to detail and accuracy, vital for maintaining the integrity of data related to GBV cases and ensuring that all records are precise and reliable.
- Good communication and interpersonal skills, important for liaising with team members and other stakeholders in a sensitive area such as GBV.
- Ability to work independently and as part of a team, essential for managing administrative tasks and collaborating on data-related projects within the WGSS.
- Respect for confidentiality and sensitivity in handling data, particularly critical when dealing with personal and sensitive information related to GBV survivors.
